J. Harold Johnston Memorial Library Interlibrary Loan Policies (ILL)
ILL Fee Schedule ILL Guidelines
Interlibrary Loan is a transaction between libraries, a form of resource sharing by which one library's collection is utilized by another in response to a mediated request for a specific item on behalf of a patron. The original or a copy of the item may be provided.
The library of the New Jersey Hospital Association offers interlibrary loan services to NJHA Member libraries for the lending of monographs and the provision of photocopies from its collection. Requests are filled within copyright guidelines. Materials that do not circulate will be proprietary or confidential materials, periodicals, reference works or publications currently available for purchase from the New Jersey Hospital Association.
The library maximized its services via membership and participation in electronic networks. Thus, access to the collections and ILL services of the NJHA library are available via DOCLINE as well as telefacsimile.
Collection Emphasis The NJHA library is a multi-media collection that focuses on the delivery of healthcare and the administrative and business aspects of hospitals and health systems. Areas covered include, but are not limited to, organization, legislation, economics, manpower, utilization, trends, education, statistics and standards. Clinical aspects of medicine and patient care are excluded.

In General Loans are not made directly to individuals. Periodicals generally do not circulate in their original form. The NJHA library is a member of the NN/LM (National Network/Libraries of Medicine). Participants in this network should follow network policies and procedures for ILL. Use the NJHA library as the "last resort" after all free providers in New Jersey Health Sciences Library Network (NJHSN) and/or basic Health Sciences Library Network (BHSL) are utilized.

- All citations should be verified and cited on ILL forms
- Articles over 50 pages may be charged 5 cents per page over limit or the item loaned to you

Book Loan Requests Made Onsite The library will honor requests for the loan of book(s), made onsite, only from individuals who are employed at institutions that are members of NJHA. These requests will be treated as interlibrary loans, and "telephone/onsite ILL forms" prepared by the NJHA library. The patron and/or the NJHA library will request a CONFIRMING ILL for the onsite book loan from the individual's hospital or health facility. In most instances, the NJHA Library will telephone the library for verbal authorization at the time of the loan.
Fee Policy There is no charge for ILLs to libraries of member hospitals, institutions and health systems of the New Jersey Hospital Association.
Rush Requests ILLS are considered RUSH request when mailing or delivery is requested within a 24-hour period.
Availability
- The NJHA Library no longer provides ILL service to non-member NJHA libraries.
- Loans are provided only to libraries of member hospitals, institutions and health systems of NJHA.
- The NJHA Library is not a member of NJHSN of BSHL networks.
Delivery and Returns Borrowing Library
- The borrowing library is responsible for all loaned material from the time of receipt until its return at NJHA.
- Borrowing libraries will replace lost or irreparably damaged materials, or will be billed for their replacement at current replacement costs. Materials that cannot be replaced will be charged to the borrower at a standard minimum $50.00 fee or for replacement cost. It is therefore advised that borrowing libraries return materials via Comet, or insured registered mail and that a return receipt be requested from the mail service used to return the item to NJHA.
NJHA Library
- The NJHA library will assume the costs of postage for outgoing loans. ILLs will be mailed first class or via the NJLN Comet delivery system to members of the NJLN. Loans of books to member libraries without Comet services will be insured and shipped UPS. We cannot loan to a P.O. Box address.
- Telefacsimile delivery only on request.
- Requests are filled daily.
Loan Period The loan period for books is four weeks unless otherwise specified. The library director reserves the right to suspend borrowing privileges without prior notice for libraries or individuals with overdue items or upaid invoices.
